Before Your Appointment
What documents should I bring to my appointment?
Please bring all tax-related documents for the year: W-2s, 1099s, brokerage statements, K-1s, mortgage statements, property tax receipts, business income/expense summaries, rental income details, prior-year returns, and any IRS/state letters. If you’re unsure, bring it — we’ll sort it out.
Do I need to fill out anything before arriving?
Yes. We ask all clients to complete our digital intake form. This ensures your return is accurate and complete. The questionnaire covers items like dependents, health insurance, new income sources, life changes, and deductions. We also ask you to upload documents in advance if possible and review our appointment guidelines (this is an appointment to prepare your taxes — not a drop-off or consultation appointment).
Can I drop off my documents instead of meeting in person?
Yes. You can drop off at any time during business hours. However, drop-off returns may have longer turnaround times during peak season. Our online booking system is for tax preparation appointments, not drop-offs or general consultations. If you wish to drop off, please call the office.
Do you offer a secure portal to upload documents?
Yes. We have a secure online portal to upload documents. Please contact the office to be invited to the secure portal.
Can I email you the documents you need to complete my return?
Yes. You can email in your documents to [email protected] to be prepared. We also accept Dropbox, Google Drive, or fax (401-229-4703).
How will I know when my return is ready for me to pick up after I drop off?
You will get a text message to let you know that your return is ready. If you have listed other forms of communication, you may also receive a phone call or email.
Do I need an appointment to pick up my return once it’s finished?
No. You do not need an appointment to pick up and pay for your completed tax return. You may stop in during our business hours.
Can you mail my tax documents to me when they have been completed?
Yes. We can mail your tax return and documents back to you at a fee of $10.
I’m missing documents. Can I still make an appointment?
You can make an appointment if you do not have all your documents, but the tax return will not be completed at the time of the appointment. A second appointment will incur the same cost as the first appointment. You may email/fax/drop off additional information to complete the return (and a short call will be scheduled to go over the final figures) and can pick up at the front desk when it has been completed.
Do you work with businesses, LLCs, and rental property owners?
Yes. HM Tax Advisors specializes in complex returns, LLCs, S-Corps, rental properties, and tax planning for business owners.
What if I had major life changes this year (marriage, home purchase, new job, retirement)?
Tell us – these events often change your refund, tax bracket, credits, and future planning opportunities.
Do I need last year’s tax return?
Yes, especially if you are new to HM Tax Advisors. It helps us check carryforwards, depreciation, capital loss balances, and prior-year elections.
Do you accept new clients?
Yes — new clients are welcome, though availability is more limited January–April.
Does my significant other need to come to the appointment with me or can I come alone?
Although we do hope both parties can make it to the tax appointment, we understand that’s not always feasible. We do ask that your significant other be available by phone at the appointment time, in case of any questions. We may require the other party on the tax return to come to the office to sign off on the return at the preparer’s discretion.
How much will my tax return cost?
Fees depend on complexity: number of forms, schedules, businesses, rentals, etc. We will give you a transparent quote before we begin.
Do I need to make separate appointments for my wife and kids?
No. You do not need to make separate appointments, unless your child is a full-time employee. If you are claiming the child as a dependent (18 and under or 22 and under and full-time student) their return can be done at the same appointment.
What happens if I’m missing a document?
We can start your return and finish once the missing document arrives. Some items (brokerage statements, K-1s) naturally arrive later in the season.
How do I get my IP Pin?
If you were assigned an IP PIN and did not receive the letter from the IRS with your new 6-digit number for the current tax year, please visit: https://www.irs.gov/identity-theft-fraud-scams/retrieve-your-ip-pin
What if I can’t make my appointment?
We have a 48-hr. cancellation policy. If you can’t make your appointment, we ask that you call 48 hrs. in advance to give us time to fill up that spot. For a no call/no show, we charge a $150 missed appointment fee.
AFTER YOUR RETURN IS FILED
When will my return be filed?
We e-file returns once payment has been received and we get acknowledgement that you agree and understand the return. If something requires follow-up or additional documents, we file once everything is finalized.
How do I get a copy of my return?
You will receive printed copy of your return once completed. We can also give you a digital copy of your return via email. We offer a thumb drive with return for a nominal fee.
Can I get a copy of my return e-mailed to me?
Yes. Please send us an email with your date of birth, social security number, and full name, along with the email address you would like us to send your return to. Please include the tax year you are requesting in the subject line.
How long will it take to get my refund?
As much as we’d like to think that HM Tax Advisors can control this, we can’t. The processing time is subject to the tax authorities processing times. The best way to get an exact date is to use “Find my refund” online look-up tools.

Does HM Tax Advisors help if the IRS or state sends me a letter?
Absolutely. If you get a letter from any taxing authority, we will review it with you. If the issue is clearly our fault we will work to correct it at no additional cost to you. Please keep in mind that any additional tax is the burden of the taxpayer, not the firm. If it’s an issue due to not providing documents to us at the time of the return, we will fix it for an additional fee if you have chosen the Basic Pricing Model. Plus and Premier pricing models are fixed for free.
Do you charge for responding to IRS or state notices?
Depending on the pricing model you choose. We will work on the notice for an additional fee if you have chosen the Basic Pricing Model. Plus and Premier pricing models are fixed for free. More complicated issues (audit support, EIC reviews, under-reporter cases, business tax issues) may require an advisory engagement through our Plus and Premier model plans.
I got a call from the IRS. What do I do?
The IRS will never call you for information regarding tax preparation and filing. Never give your social security number, bank information, or personal information to anyone over the phone claiming to be a tax representative.
Can I make changes after my return is filed?
Yes. If you receive new documents or notice an error, we can amend the return. Additional fees may apply depending on the situation.
Will you store my tax documents?
Yes — we securely retain your tax documents and returns according to federal professional standards retention requirements.
I lost my return, can I get another copy?
If you lose your return, we can print another copy for a reprint fee of $10

How long does a tax appointment take?
Most appointments take 30–45 minutes. Complex returns (multi-state, businesses, rentals) may take longer.
Can I ask tax planning questions during my tax appointment?
Basic questions are welcome. For in-depth planning, entity structuring, or multi-year analysis, we offer dedicated advisory sessions.
Do you prepare the return while I’m sitting with you?
Yes. Most clients prefer real-time preparation. You will see us enter and verify all data before you leave. If additional work is needed (research, bookkeeping cleanup, entity issues, or confirming documents) we will follow up.
Will I meet with a licensed tax professional?
Yes. Your return is handled and reviewed by an Enrolled Agent, licensed by the IRS.
Can someone come with me?
Yes — but space is limited. Out of courtesy to other clients, we ask that only essential parties attend. We kindly ask that children remain at home.
What if I forget a document during the appointment?
No problem — you can upload it to the portal later, email it to your preparer, fax or drop the document off. We’ll complete the return once everything is received.
Will I know my refund or balance due before I leave?
Yes. You will leave your appointment knowing your exact refund or balance due, for both federal and state returns, if we have all relevant documentation.
What if I don’t have the money to pay for the return? Can you take the fee out of my refund?
No. We can’t take your tax filing fee from your refund. Payment is due at the time of the service, and we will not file the return until payment has been made in full. We have a 30-day timeframe for payment, and any payments made after 30 days is subject to a $25 late fee.

Do you offer tax planning or advisory services?
Yes. We offer year-round tax advisory for individuals, business owners, real-estate investors, and high-income households looking to optimize taxes, reduce liabilities, and plan strategically as part of our Plus and Premier model pricing.
What if I own a business?
Bring year-end financials (income statement, balance sheet), payroll reports, 1099s issued, mileage logs, depreciation schedules, and bank/credit card summaries.
Do you prepare business returns (LLCs, S-Corps, corporations, partnerships)?
Yes — this is a major part of our practice.
Can you help set up an LLC or corporation?
Yes. We assist with entity selection, formation, registrations, EINs, S-Corp elections, and ongoing compliance.
What states do you prepare returns for?
All 50 states. We work with clients nationwide but our preference is to work with people local to the New England and Tri-State area where we are experts in the local tax laws of these various jurisdictions.
What if I can’t come into the office?
We offer virtual appointments for an additional nominal fee, secure uploads, and remote signing using IRS-approved e-signature methods.
Do you offer virtual appointments?
Yes – video appointments and fully remote tax preparation is available for a nominal fee. Virtual appointments will not be scheduled until all documentation is received for the tax preparation. Once the documents have been received, we can then schedule a Zoom appointment.
Do you offer bookkeeping or payroll services?
Yes — we can provide or coordinate bookkeeping, payroll setup, and ongoing support for small and mid-sized businesses.
Do you work with cryptocurrency tax issues?
Yes — we can assist with crypto trading, staking, mining, and exchange reporting.
If I start a business, when should I consult you?
Now. Starting early ensures your entity choice, accounting method, payroll setup, and estimated taxes are done correctly.
Can you help me fix past year’s tax problems?
Yes. We handle back-year filings, penalty abatements, state non-filer notices, late S-Corp elections, trust/estate filings, and clean-up projects.
How do I pay for my tax preparation?
We accept cash, card, check, ACH, and secure online payment. Payment is required before e-filing and at time of service.
